2009 IARW-WFLO-IRTA Expo

The IARW Annual Convention and Expo offers a singular opportunity to present product and service information to the largest concentration of public refrigerated warehouse, refrigerated logistics, and refrigerated transportation executives in the world. These are top-level decision-makers who are drawn to the annual meeting because of the strength of the programs, the quality of the facility and the chance to attend the only Expo offering products and services completely tailored to the needs of the refrigerated logistics industry.

The Expo will be open for approximately 1½ hours each day during the core days of the convention - Monday, Tuesday and Wednesday. The show will be held in the Celebrity Ballroom. Expo participation will be boosted by upscale refreshments both before the program each day and during the mid-morning break. Monday we will have a lunch in the exhibit hall and Wednesday we will hold a brunch.

Base price – $2375.00
Upgrade to “A” Location – $275.00
Upgrade to double booth – $1480.00

Additional booth attendants - $895 ($805.50 before 6 Feb.).

Space Assignments

All space assignments are made at the sole discretion of IARW. To the extent possible, however, every consideration will be given to earned priority status. All Associate Members earn “points” based upon their years of membership in IARW-IRTA and years of participation in the IARW-IRTA Expo. Each year of membership counts for one point and each year of Expo participation is worth two points. These points are totaled and companies are ranked in order of earned priority.  Please see a map of the  Expo floor plan below (click for a printable version).  All space requests received by 9 January 2009 will be processed at that time on the basis of numerical ranking. If two or more companies have the same number of points, priority will be given to those companies that exhibited in 2008. All space requests received after January 9th will be assigned on a first-come, first-serve basis.

IARW-IRTA will assign space in priority sequence (points earned and participation in previous trade shows). When your priority level is being assigned, IARW-IRTA will make every effort to consult with you and accommodate your preferred location. If it cannot be accommodated, alternate space will be assigned, taking into consideration proximity to competitor companies, etc. We will make every effort to assign spaces in such a way that competitor companies will not be adjacent to one another, but if there are any specific companies from which you would particularly like to be separated, please inform IARW-IRTA at this time.

 


 

Please note—There are three eligibility requirements for participation in the IARW-IRTA Trade Show.

  1. Exhibiting company must be an IARW Associate Member and 2009 dues must be current.

  2. Each company representative participating must be fully registered for the convention. (Exhibit space fee does include one convention registration)

  3. Exhibit space payment must accompany this request

Expo Support

Expo support will be provided by GES Exposition Services a full service trade show supplier with much professional experience. GES will provide each exhibitor with an exhibitor kit, list of services and rate sheet as soon as they are advised by IARW of space assignments.

 

Suitability

Exhibits should be of a type and character to be of interest to refrigerated warehouse operators. Exhibits which, in the opinion of exhibit management, are excessively noisy, emit odors or are otherwise objectionable to other exhibitors or registrants will not be permitted. No combustible decoration may be used at any time. Exhibit management reserves the right to require an exhibitor to correct an objectionable condition at exhibitor expense.

Liability

The exhibitor indemnifies and agrees to hold harmless the International Association of Refrigerated Warehouses, its officers and staff members, and the Westin Mission Hills, its officers, directors, employees and agents, from and against any actions, losses, costs, damage, claims, and expenses (including attorney’s fees) arising from any damage to property or bodily injury to exhibitor, his agents, representatives, or employees by reason of the exhibitor’s occupancy or use of the decorator, drayable company and/or exhibit. In assuming the full risk of loss or damage to its equipment, supplies, and exhibited goods, exhibitor acknowledges that IARW is not obligated to maintain insurance coverage for the exhibitors equipment and materials, and that if the exhibitor desires insurance it must obtain its own.

Cancellation Policy

Exhibitors who cancel less than sixty (60) days prior to the exhibit will be responsible for the full cost of their space, unless the space is resold. If the space is resold, exhibitors will receive a full refund less an administration fee of $100. If an exhibitor fails to appear without prior notification, he will be responsible for the full cost of the exhibit space and, in addition, forfeit his position on the priority list for space reservations at future exhibits
