What payment methods do you accept?

  • Pay online by credit card (Visa, MasterCard, Discover, or American Express).

  • Telephone headquarters at +1 703 373 4300 if you are uncomfortable giving your credit card online.

  • Print an invoice and send it with your check to IARW-WFLO-IRTA, 1500 King St., Suite 201, Alexandria, VA 22314 USA.

  • Pay by wire transfer to IARW-WFLO-IRTA, account number 000-125-437, SunTrust Bank, FRB-ABA: 051-0000-20.

Payment must be received before the event.

What is your cancellation policy?

  • Delegate and guest cancellations before 6 March 2009 will be charged a cancellation fee of $50.

  • Cancellations after 6 March will incur a cancellation fee of $150 for delegates and guests, or $20 if just cancelling golf.

  • Contact headquarters to make substitutions at no charge.

  • No refunds will be issued after 27 March 2009.

  • Exhibitors who cancel less than sixty (60) days prior to the exhibit will be responsible for the full cost of their space, unless the space is resold. If the space is resold, exhibitors will receive a full refund less an administration fee of $100. If an exhibitor fails to appear without prior notification, he will be responsible for the full cost of the exhibit space and, in addition, forfeit his position on the priority list for space reservations at future exhibits.

How do I substitute someone if the person registered can't attend?

Contact headquarters before you cancel the first person or register the second person. We can perform the change and there is no cancellation fee.

What e-mail do I enter on the first page of online registration?

Please use the registrant’s primary work e-mail. If this is a shared e-mail account, try to use an e-mail that only the registrant uses. Our system uses the e-mail address to identify the individual, so if you use someone else’s e-mail their information will be written over. If the registrant does not have an e-mail address, enter a fake e-mail on the first page of registration and make sure to enter a valid e-mail in the first field on the second page of registration. How do I change or cancel part of my registration?
Click on the link in your confirmation e-mail and enter your confirmation number. Click on the “Modify” tab. If you do not have your confirmation e-mail, click the Register link, enter the e-mail address you used on your original registration and follow the instructions to request your confirmation number.

Can I pay by check?
Yes. Complete your registration online. At the end you will be given an option for credit card or check. Print out the page that says “This page is your invoice” and send it in with your check to 1500 King St., Suite 201, Alexandria, Virginia 22314-2730 USA.

I need to cancel.
We’re sorry to hear that. Click on one of the links in your confirmation e-mail and enter your confirmation number. Then click the “Unregister” tab. If you don’t have your confirmation e-mail, you can cancel by contacting headquarters. Click here for the cancellation policy.

Can you register me?
We encourage you to register yourself online so that you can confirm all your information and to avoid misunderstandings. If you have any difficulties, please contact headquarters.

Will I receive a confirmation of my registration?
Yes. Once you click the “Finish” button on your online registration, a confirmation e-mail will be sent to both the e-mail address of the registrant and the e-mail address in the “Contact in Your Office” field.

Will I be refunded if I have to cancel my registration?

How can I become a speaker?
Please submit your presentation proposal to Colleen Caster, Director of Education, by 5 December 2008.

Proposals must include the following:

  • Organization

  • Presenters’ names and job titles

  • Title of the presentation

  • Presentation summary

  • Learning objectives

  • Duration of presentation (i.e. 30 or 45 minutes)

I am a member of the press – do you have press registration?
Yes, qualified members of the trade press are invited via e-mail to take advantage of complimentary registration. Please contact Jason Boyd at headquarters if you have not received an e-mail.

What does my registration fee include?
Registration includes all General Sessions and Focus Sessions, the Welcome Reception, Monday lunch and other refreshments in the Expo, and the final evening Gala Dinner Dance.

Spouse/guest registration includes the opening and closing General Sessions, the Monday morning spouse/guest program, Monday lunch and other refreshments in the Expo, the Tuesday Spouse Shopping Tour, and the final evening Gala Dinner Dance.

Golf is extra.

When does the Convention officially begin?
The first event open to all attendees is Scientists Speak at 1:00 pm on Sunday, 29 March 2009. Boards and other special groups have activities beginning on Saturday. Click here for the full schedule.

How do I get a hotel room? What are the rates?
You should book your own hotel room. Click here for information. If you have any difficulties, please contact Megan Kalaski at headquarters.

How do I get the first-timer discount?
There is a discount for IARW, WFLO, and IRTA members who have never before attended the Convention. When you register online, choose “Member Registration with First Timer Discount” on the third page.

Am I a member?
Click here to find out if your company is a member of IARW, WFLO, or IRTA. All company employees are also considered members.

How do I register for a booth?
You will need to register online before 9 January2009. On the first page of registration, enter the information for the main representative at the Expo and choose “Primary Onsite Contact for Expo Booth.” You will be given a chance to indicate your preferences during registration and headquarters will contact you later to confirm a booth assignment.

What is the booth deadline?
You must register online before 9 January 2009 for priority placement. After that deadline, any remaining booths will be available on a first-come, first-serve basis.

Do I have to register my spouse, kids, or friends?
You must register any spouse or guest you want to attend the general sessions, welcome reception, Expo, spouse/guest program, golf, or the dinner dance. If you are bringing friends or family members who are involved in the cold chain industry, they must be registered as participants, not guests.

Do I have to register booth workers?
All company representatives working at an Expo booth must be registered at Member price.

What discounts do you offer?
There is an automatic early bird discount of 10% off registration fees before 6 February 2009. This does not apply to Expo booth packages. There is also a special rate for first-time attendees from member companies.
